How does the process of booking fees work?
To secure your event date, a non-refundable booking fee of 25% of the total amount is required.

What is the difference between a booking fee and a security deposit?

A booking fee is a non-refundable payment made to secure your event date. This fee confirms your reservation and holds the venue exclusively for your event. If the event is canceled for any reason, the booking fee is not refundable, as outlined in our contract.

A security deposit, on the other hand, is a refundable amount held to cover any potential damages or excessive cleaning needed after your event. Following a successful inspection of the venue at the conclusion of your event, your security deposit will be refunded in full.

 

What is the refundable security deposit?

The total amount includes a refundable security deposit of $150, which will be returned to you within 5-7 business days after the event. This deposit and the outstanding balance must be paid in full no later than 30 days prior to the event.

What is the cancellation policy for an event, and are there any fees involved?

Should you require cancellation, you are entitled to do so within 30 days following the signing of the contract and payment of the deposit. Upon cancellation, a new date will be scheduled within 10 business days from the original cancellation date. The event must be rescheduled to occur no later than six months from the new date, and this constitutes a one-time extension. Please note that the 25% booking fee is non-refundable in the event of cancellation.

 

What is included as part of my booking?
Your booking includes tables, chairs, and access to a prep kitchen, excluding the content studio/multi-purpose room package.

Will I receive additional hours to set up and clean up on my event date?
Additional hours for setup and cleanup are not included in your allotted event time. If you require extra time outside of your scheduled event hours, we offer additional hours at a rate of $50 per hour. Please make sure to account for any extra time you may need when planning your event.

 

What is the maximum occupancy?
The maximum occupancy for our venue is as follows: the full ballroom can accommodate up to 200 seated guests or 275 standing guests, while the half ballroom can host up to 50 seated guests or 60 standing guests. These capacity limits are in place to ensure the safety and comfort of all attendees.

 

Is alcohol allowed in The Historical Time Capsule?
Yes, alcohol is permitted in our event space. However, if you choose to serve alcohol at your event, you assume full responsibility for any incidents that may occur as a result. The Historical Time Capsule will not be held liable for such incidents. For more information, or if you have any questions about alcohol service, please contact the Elberton Police Department or the Elbert County Sheriff's Department.

 

Do you allow outside caterers?
Yes, we welcome outside caterers! You are free to bring in your own catering service, and we can even provide recommendations for some excellent local options. Please note that a valid catering license is required.

 

Do you have a kitchen?
We offer a small prep table for your convenience. All food must be prepared and ready prior to your event, as we do not offer cooking facilities on-site.

 

Do you have weekday rates?
Take advantage of our weekday special! Book your event from Monday to Thursday and enjoy a discounted rate. For more details, please refer to our Venue Packages.

 

Is there enough parking at your venue?
Yes, there is plenty of parking available for your event! We have a public parking lot located behind the Time Capsule, as well as additional parking on the square.
